The programme is approved early. In the last week, a category may leave, a speech may be shortened, or a name may be corrected. The paper distributed at the door shows the plan for the day of printing.
This does not make the paper useless. It's right the day it leaves the printer and less right each day after that. The decision is when to print, and what to offer besides paper.
Close printing as late as the printer allows
The closer to night the paper comes out, the fewer changes are left out. The printing deadline is a calendar decision.
Keep paper for those who want it
There are guests who want the programme in hand. It's the copy they take home. There are those who don't open a call for an evening. Offer both, so no one has to ask.
The programme is a public document
It tells what the room can expect and who is honoured. Guests take it. Recipients show it. Read the names out loud before closing the file, with someone who didn't write it.
Guests do not all read the same way. Some read it first. Others listen. Others only open the programme when something surprises them. Give everyone a way to get in, without asking them for extra work.

What is printed is what you trust even at night. What changes after printing is what the screens show. Agree, before the printer, what the paper fixes and what the screens can still correct: names, places and running order.
