Conduct company night with the people you have.

Published · Updated

A company night is often attended by a small human resources or communications team. This team also has its day job. Even so, the night must seem calm. The plan is what allows it.

The evidence published so far comes from city council galas. This article is general guidance for companies. The companies page says who we write for.

Write what each person does

A small team works when each person knows what they are responsible for. Give these instructions in a few lines, in writing. A short briefing saves questions in the evening and prevents the day's work from swallowing up the plan.

Cut before you add

Hands are few. Cut first: fewer categories, shorter speeches, fewer extras. Each item adds work before the evening and at night.

Ask what the recipients would miss, and cut out the rest. Keep a clear name, a clear moment on stage and a photograph. These are the parts that the person takes home.

Rehearse what you say out loud

You don't need a full rehearsal. Walk the path from the place to the stage once. Read the names out loud. Ask for pronunciation early. The test also shows where the plane is thin. To set a time per item, see pass order.

Arrange the unexpected beforehand

A name may be wrong. A speech can go on for a long time. Agree what to do and a calm phrase for the host. The calm in the night comes from this agreement, not from thinking quickly on stage.

Decide what happens when an award recipient is not in the room: wrong name, absent award, contested decision.

One person makes the change

In a small team, each additional task is one person letting go of another. If an amendment has to be written in four places, someone drops what they have in hand to rewrite it.

Eventblox® puts the script, screens, port and certificates in the same register. One person makes the change and sees the new version at night. The plan remains yours. The briefing remains yours. What disappears is the race between files. That's what Prepare is about, and that's what the demo shows with its plan.

Write down what each person does. Cut what the team doesn't have time to accomplish. Follow the path to the stage. Agree what to do when something goes wrong.

Frequently asked questions

How many people does a company awards night need?

It depends on the size of the night. A small team leads it if the programme is cut to fit the needs of the hands at hand. Cut first. Add only what the team has time to run.

What should a small team cut first?

The extras that ask for more hands. Then, categories and speeches. Keep a clear name, a clear moment on stage and a photograph.
