How many hours does a gala take a council?

Published · Updated

A gala budget shows what is invoiced: the venue, sound, screens, reception, medals and printing. Staff hours are often left out. They are spread across people who also have other work. That is why a council may not see what the gala takes.

Hours that nobody counts are hours that nobody plans. Count them to understand what the gala takes.

Where the hours go

They are spread across the year around the night, as well as the night itself. The night is the visible part. Most of the work happens beforehand.

Two galas, measured

We counted preparation and on-site hours before and after, using the same scope.

  • Barreiro, year 1: 162 awards and 300 special guests. 1,216 hours before and 320 after. 896 fewer hours, a 74% reduction.
  • Almada, year 1: 249 awards and 342 special guests. 738 hours before and 270 after. 468 fewer hours, a 63% reduction.
  • Together: 1,364 of 1,954 hours. 590 hours remained. Around 70% fewer hours in the gala workload.

Total across two city council galas: 1,364 of 1,954 hours, around 70%, measured across 2 of 5 clients. At €9.89/hour, those 1,364 hours equal €13,489.96. This is the value of the two measurements, not a price or a forecast.

Oeiras, Loulé and Polícia Judiciária are excluded from this total. No hours were allocated to these clients.

How to read the number

It is a total, not an average. Barreiro fell by 74%. Almada fell by 63%.

It covers two city council galas of different sizes, both in year 1. It says little about a national ceremony, a university award or a company awards night.

The other three clients were not measured. No hours from them are included.

This is not a prediction. Your gala is not either of these two.

What stops being repeated

Most hours are not spent on the ceremony itself. They are spent writing the same thing in several places: the entry, seating plan and script. Eventblox® does not shorten the ceremony. It shortens collection, confirmation, ordering and the work exported the next day.

Plan is where the gala becomes that record. The figures and method are on the results page.

Count your gala in the same way

Start before the next edition. Count to understand the work, not to judge people.

  1. Define the period: preparation and on-site hours.
  2. Count in the same way before and after.

A before figure without an after figure is a complaint, not a measurement.
