How to fit hundreds of awards into one evening

  • Prepare

Published · Updated

The duration, rhythm and host are decided before the night. How long an awards ceremony should last is the first of those decisions. The recipients remember how they were treated. A short moment can still be warm.

What Oeiras measured

At the Oeiras Sports Gala, year 1, the city council's own team presented 340 awards to 522 participants in 1 hr 30 min. One award recipient on stage every 16 seconds. Working hours were not measured. Oeiras is not included in the total hours of Barreiro and Almada.

The numbers are on the Oeiras page. 1 hr 30 min and 340 names don't leave a speech for an award, a long walk or a pause while someone looks for a sheet.

Group the walk and keep the name

What consumes the watch is the movement, not the reading of the name. Call a club en bloc and the club walks once. Read each name from the same script, so each person can hear theirs.

Keep the individual moment for the few awards that carry the room: the lifetime award, the team of the year. A short moment is not a cold one.

What a long list has to keep right

  • A list that multiple people can correct, with a version that counts.
  • A name that reaches the host and the screen at the same time, even when the correction appears with the room full.
  • A script that follows the change, instead of four pages that move away.
  • Certificates made with who is in the room, not with the list from the previous week.

Three wastes of time are not on stage. A name is read wrong and corrected at the microphone. an award recipient is called and is not in the room. Someone jumps between a sheet and a screen.

Plan it with your own list

  1. Divide the awards by the minutes you have. Write the seconds per award where the team sees them.
  2. Choose how many people walk together.
  3. Rehearse with real names and real times.
  4. Write the cutting rule before night, so no one can invent it in the middle of the night.

Three people, the same line

On a night with hundreds of awards, what fails is getting the name right on the script, on the screen and on the door at the same time. There are three people looking at three things.

When all three come from the same register, a change enters once. The name that the host reads is the name that is on the screen, and the door already has it. That's what Run does at night.

Eventblox® brings the change to the host, the screen and the door. Bring last year's plan. In the demo you can see your list.

Frequently asked questions

How do you fit hundreds of awards into one evening?

Group the walk, read each name and reserve the long moment for few awards. In Oeiras, 340 awards were presented in 1 hr 30 min. Your list will differ.

Does Oeiras come into the saved hours?

No. In Oeiras we measure the pace: 340 awards, 522 participants, 1 hr 30 min. The hours were not measured. A total of 1,364 hours saved on Barreiro and Almada was measured across 2 of 5 clients; Oeiras does not integrate it.
