The running order of an awards night, and what breaks it
The running order is the document the host trusts. It says what happens next, who goes on, and how long there is. When it is wrong, the room notices before the organiser does.
What it has to hold
- The order of the awards.
- Who presents each one, and from where.
- The time each block takes, and the hard stop.
- Names as they stand at the last check before doors.
What breaks it
- an award recipient who is not in the room.
- A name that was wrong, found in the corridor.
- A host running late, or a block running long.
- A guest arriving after the list was closed.
A printed order handles the first plan well. It cannot carry a change. From the moment it is printed, each correction is a person walking to another person.
Ways to hold it
| How it is held | When a name changes |
|---|---|
| Printed sheet | Someone finds the host and says it |
| A spreadsheet | Someone edits the file; the host may read an older copy |
| A shared document | The host can refresh it, if they know to look |
| Awards software built for the night | The host reads the new name without being told |
At Oeiras, 340 awards went out in 1 hr 30 min: one every 16 seconds. At that pace, a correction someone has to walk to a host arrives late.
The names in this group
SignaCue and ShowPrompt are the two stage tools an organiser is most often shown. Most nights still run on a printed sheet or a shared document. Each of them holds the order of the night. What differs is what happens when a name changes at 20:40. Eventblox® is the one built for that moment, and for the record that follows it.
What to decide before the night
- Who may change the order, and until what time.
- Whether the host sees the change or hears about it.
- Who writes the version that shows what actually happened.
- Whether someone else can run the same file next year.
One cut-off, written down
Pick a time after which only one person changes the order. Write that line in the order itself, near the top. Most bad moments on stage are a change that reached one person and not the others.
After the night
Keep the order with the result. It is the file that shows what was given, to whom, and at what time. Someone asks for it next year.
Frequently asked questions
How early should a running order be final?
The order a day before. Names as late as you can. Decide who may change them after that, and when.
What if an award recipient is not there?
Decide the rule before the night: a runner-up, an empty chair, or the award given later. Tell the host which one you chose.
Does the running order matter after the night?
It is the file that shows what was given and to whom. Keep it with the result.
